Position Details

The Position Details tab contains the information about the Position that will be used throughout the system.

To access this area, click on the Positions node in the left pane and double click on a Positionin the right pane and then complete the following information as required:

Field Explanation
Position Select the position from the drop-down list.
Short Description This will populate based on the position selected.
Class This will populate based on the position selected
ANZCSO This will populate based on the position selected. (See ANZSCO Validation Table.)
Identifier This is an optional entry where you can enter any additional detail relating to that position.
Printing the Identifier on the Organisation chart is optional.
Company Select the company this position belongs to from the drop-down list
Reporting Position Select if you wish to create direct reports to this position.
If this box is left blank, it indicates that this is the lowest position in the tree, thereby preventing you adding further subordinate positions in this branch of the Organisation chart.
Creation Date The date this position was created.
Redundant Date The date the position ceased to exist.
You cannot enter a redundant date if the position has active incumbents.
Reports to Select the position to which this position will report.
Department Select the department from the drop-down list.
FTE Budget Enter the FTE required to fill this position. For further information see "Full Time Equivalent:".
You may enter a value less than, equal to or greater than 1.
FTE Actual

This field will be automatically populated with the total FTE of all current Incumbents of this position.

Incumbents who have been finished are not included.

FTE Variation This is the variance between FTE Budgetand FTE Actual, and indicates the staffing level of this position.
A 0 (zero) variant means that the position is adequately staffed.
A negative variation means the position is understaffed, and a positive variant means the position is overstaffed.
Notes Enter any notes you wish to include about the position.

Full Time Equivalent:

Full Time equivalent or FTE allows you to specify the number of 'full time' employees required to fill a position.

A position which will fully occupy one employee for one working week will have an FTE of 1.00.

A position which requires a full-time employee plus a part-timer working three days a week will have an FTE of 1.60.

FTE indicators within the system can be used to aid planning.
By defining the ideal FTE for a position, and an FTE Actual for an Incumbent, the system can calculate an FTE variation, thereby highlighting whether a position is adequately staffed.
For example:

The CEO's personal assistant position has an FTE of 0.8.
The incumbent in this position has an actual FTE of 0.6.
The position listing report will highlight a variance of -0.2, indicating that the position is understaffed.
